In 2021, we are pushing to upgrade our annual Cross-Canada program. We sincerely welcome youth talents to join us for planning a better intergenerational public event across Canada. As a management team member, the Human Resource Specialist plays an essential role in assisting Love Caravan’s team with employee and volunteer recruitment, record maintenance, payroll processing, and providing clerical support to all employees. We’re looking for a take-charge, perceptive and creative individual who is a conceptual thinker with superb organizational, time management, administrative, and communication skills.

What We're Looking For:

  • Ability to work well both independently and collaboratively with strong organizational, multi-tasking, and time-management skills.

  • Prior experience in an administrative position, or other roles that demonstrate an excellence in organizational, leadership, and management skills, is a great bonus.

  • Proof of formal training (certificates, diplomas, class credits, etc.) in Hospitality, Accounting, Communication, Business Administration, or another relevant field is preferred, but not mandatory.

  • Great reliability, detail and target-oriented, team attitude coupled with a flexible, “can do” attitude. The ability to take initiative when required is an ideal quality!

  • Excellent communication skills. Graphic design experience and multilingual will be a plus.

  • Knowledge of appropriate software including Microsoft Office (including Word, Excel, and PowerPoint) and Adobe Acrobat.

  • Ability to keep track of multiple projects and deadlines. Experience or knowledge of office management systems and procedures. Skill or experience in negotiation in purchasing supplies, supply management, and inventory control.

Key Responsibilities Include:

  • Providing real-time administrative support to ensure efficient and smooth day-to-day operation of Love Caravan’s program. Following the progress of both individual employees and their respective departments, and preparing comprehensive reports for senior members.

  • Assist in composing, developing, maintaining and improving a variety of management policies and legal documents according to the needs of the program.

  • Responding to inquiries, coordinating meetings and taking detailed notes, developingand maintaining appropriate filing systems, writing and distributing correspondence memos, and submitting and reconciling expense reports.

  • Acting as a primary point of contact. Liaising and facilitating communication with internal and external stakeholders, and updating the program’s scheduling system as needed.

  • Ensuring operational number of supplies for the Love Caravan program, ensuring that orders are placed ahead of time.

  • Contributing to the overall team effort by accomplishing related results as needed in order to improve efficient workflow.
